- Role Dimensions: Coordination of administrative functions, report preparation, relationship management, and regular interaction with staff and vendors.
Child Safeguarding
Level 3: This role may involve regular contact with children or young people, and in overseas contexts, all positions are considered Level 3 due to the potential for unsupervised access to vulnerable individuals.
Role Purpose
The Administration Coordinator will oversee a range of administrative activities including event planning, travel arrangements, accommodation bookings, facility management, and general support to staff. This role ensures the effective operation of facilities, maintains a safe and efficient working environment, and implements sustainable management practices tailored to the SCI Nigeria context.
Scope of Role
- Report Writing and Budgeting: Prepare reports, manage budgets, and forecast cash flows.
- Travel and Event Coordination: Handle all travel arrangements and event logistics.
- Facility Management: Oversee office and accommodation facilities, ensuring compliance with standards and effective maintenance.
Key Areas of Accountability

Facility Management:
- Supervise Admin Officers and ensure facilities meet security and safety standards.
- Manage leased facilities and ensure compliance with agreements.
- Ensure emergency preparedness with necessary equipment and materials.
- Coordinate with relevant staff for compliance with immigration requirements.
- Oversee utility services, maintain facilities, and handle repair requests.

Event Management:
- Manage logistics for meetings, workshops, and conferences.
- Coordinate with departments and service providers to ensure successful events.

Travel Management:

Handle travel arrangements, visas, and accommodation for staff and visitors.
- Coordinate logistics such as airport transfers and hotel reservations.

Contract Management:
- Supervise service contracts and framework agreements.
- Ensure timely processing of third-party vendor payments.

Policy and Procedure Administration:
- Assist in developing and updating administrative policies and procedures.
- Monitor and ensure compliance with quality standards.

Staff Supervision and Development:
- Lead the Administration team, provide guidance, and support professional development.
- Implement performance management systems and strategies.

Other Responsibilities:
- Provide administrative support to program teams.
- Manage petty cash expenses and cover for absent staff as needed.
- Assist with data gathering, analysis, and other tasks as assigned.
Working Contacts
- Internal: Administrative unit, relevant departments, Country Management teams.
- External: Government agencies, vendors, embassies.
Qualifications & Experience
- Education: Bachelor’s Degree or HND in Administration, Finance, or Social Sciences. Membership in a professional body is advantageous.
- Experience: At least 5 years of experience in administration, preferably with an international organization.
- Skills:
- Proficiency in MS Excel and other computer software.
- Strong communication and interpersonal skills.
- Flexibility, independence, and teamwork abilities.
- Experience in facility management and data analysis.
