Job Summary:
As an Administrative Assistant at Jolly Energy Fleet Limited, you will be instrumental in supporting the administrative functions of our company. Your role will involve providing essential administrative and clerical support to ensure smooth operations within the organization.
Responsibilities:
- Perform general administrative tasks, including data entry, filing, photocopying, and document scanning.
- Assist in the management and organization of company records, files, and documents.
- Handle incoming calls, take messages, and direct inquiries appropriately.
- Schedule and coordinate appointments, meetings, and travel arrangements for management and staff.
- Maintain confidentiality of sensitive information and documents.
- Assist in coordinating internal and external communications, such as email newsletters and company announcements.
- Provide support to other departments as required.
- Prepare and distribute correspondence, memos, and reports.
- Assist in the preparation of presentations, meeting agendas, and other documents.
- Monitor and replenish office supplies inventory and place orders when necessary.
- Assist in coordinating office events and meetings, including venue booking and catering arrangements.
- Handle incoming and outgoing mail and packages.
Requirements:
- Bachelor's Degree in Business Administration, Computer Science, or a related field.
- Additional certification in office management is advantageous.
- Proven experience as an administrative assistant or in a similar role.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information.
- Excellent interpersonal skills and the ability to work effectively in a team.
- Proactive and self-motivated with a positive attitude.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time management abilities.
- Strong attention to detail and accuracy.
- Ability to multitask and prioritize tasks effectively.
