Job Description
The Administrative Assistant will play a pivotal role in maintaining office efficiency by managing schedules, handling correspondence, and providing general administrative support. This multifaceted role requires attention to detail, excellent communication skills, and the ability to manage multiple tasks efficiently.
Responsibilities
- Answering and directing phone calls
- Organizing and scheduling appointments
- Planning meetings and taking detailed minutes
- Maintaining contact lists
- Booking travel arrangements
- Submitting and reconciling expense reports
- Providing general support to visitors
- Acting as the point of contact for internal and external clients
- Liaising with executive and senior administrative assistants to handle requests and queries
- Writing and distributing email, correspondence memos, letters, faxes, and forms
- Assisting in the preparation of regularly scheduled reports
- Developing and maintaining a filing system
- Updating and maintaining office policies and procedures
- Ordering office supplies and researching new deals and suppliers
Requirements
- HND or BSc
- Proven experience as an administrative assistant, virtual assistant, or office admin assistant
- Experience with administrative and clerical procedures
- Prior experience in a similar role in a corporate or business setting
- Availability to work full-time hours, typically 9 am to 5 pm, with occasional overtime
- Strong interpersonal skills and the ability to build relationships with staff, stakeholders, and clients
- Flexibility and adaptability to changing priorities and workloads
- Reliable transportation to the office
- Ability to handle confidential information with discretion
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Ability to work independently and as part of a team
- Familiarity with office gadgets and applications (e.g., e-calendars and copy machines)
- Customer service orientation
- Professional demeanor and appearance
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
Remuneration
- Salary: N150,000 - N250,000 per month based on experience and qualifications
- Potential for bonuses based on performance
