Administrative Assistant Job at the International Organisation For Migration (IOM)

Job Title: Administrative Assistant

  • Type of Appointment: Special Short-Term Graded (SSTG), 6 months with possibility of extension

  • Organizational Unit: Resource Management Unit (RMU)

Core Functions / Responsibilities

  • Arrange appointments, receive visitors, and handle telephone calls, ensuring efficient communication and response to inquiries.
  • Provide comprehensive office, administrative, and logistical support for meetings, committees, and conferences.
  • Proofread and format documents to ensure accuracy, grammar, punctuation, and adherence to established standards.
  • Initiate administrative tasks using computerized financial, travel, and human resources systems.
  • Coordinate travel arrangements, including bookings and preparation of travel documents for staff.
  • Assist in the administrative processing of vacancy notices and consultants' contracts.
  • Manage incoming mail and correspondence, ensuring timely distribution and follow-up on pending actions.
  • Draft responses to routine correspondence and prepare complex documents and reports using word processing software.
  • Perform additional tasks as assigned by the supervisor.

Requirements

Education:

  • High School Diploma with four years of relevant experience; OR
  • Bachelor’s Degree in Business Administration or related fields from an accredited institution with two years of relevant professional experience.

Experience:

  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Email, Outlook).
  • Strong attention to detail and ability to organize tasks systematically.
  • Discreet, client-oriented, patient, and eager to learn new skills.
  • Previous experience with international humanitarian organizations or multicultural settings is advantageous.

Languages:

  • Fluency in English (oral and written) is required; working knowledge of the local language is desirable.

Skills:

  • Knowledge of humanitarian contexts and understanding of UN and bilateral donor programs.
  • Familiarity with IOM policies and procedures is advantageous.
