Job Title: Administrative Assistant

- Organizational Unit: Resource Management Unit (RMU)
Core Functions / Responsibilities
- Arrange appointments, receive visitors, and handle telephone calls, ensuring efficient communication and response to inquiries.
- Provide comprehensive office, administrative, and logistical support for meetings, committees, and conferences.
- Proofread and format documents to ensure accuracy, grammar, punctuation, and adherence to established standards.
- Initiate administrative tasks using computerized financial, travel, and human resources systems.
- Coordinate travel arrangements, including bookings and preparation of travel documents for staff.
- Assist in the administrative processing of vacancy notices and consultants' contracts.
- Manage incoming mail and correspondence, ensuring timely distribution and follow-up on pending actions.
- Draft responses to routine correspondence and prepare complex documents and reports using word processing software.
- Perform additional tasks as assigned by the supervisor.
Requirements
Education:
- High School Diploma with four years of relevant experience; OR
- Bachelor’s Degree in Business Administration or related fields from an accredited institution with two years of relevant professional experience.
Experience:
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Email, Outlook).
- Strong attention to detail and ability to organize tasks systematically.
- Discreet, client-oriented, patient, and eager to learn new skills.
- Previous experience with international humanitarian organizations or multicultural settings is advantageous.
Languages:
- Fluency in English (oral and written) is required; working knowledge of the local language is desirable.
Skills:
- Knowledge of humanitarian contexts and understanding of UN and bilateral donor programs.
- Familiarity with IOM policies and procedures is advantageous.
