Role Overview
The Executive Assistant will provide comprehensive administrative and support services to the Executive Director, Alternate Executive Director, Senior Adviser, and Adviser. The role involves implementing the office work program, coordinating internal and external events, and serving as a liaison for effective communication between the Executive Director’s office and other Bank complexes.
Key Responsibilities
- Administrative Support: Provide administrative assistance to the Executive Director and other senior officials, including managing correspondence, drafting letters, responding to emails, and maintaining corporate documents and records.
- Event Coordination: Organize and coordinate internal and external events, missions, and meetings, ensuring all logistical arrangements and protocols are adhered to.
- Liaison Duties: Act as the main contact point for internal and external stakeholders, facilitating communication and securing appointments as needed.
- Research and Information Management: Conduct background research, highlight key information, and manage documents for Board meetings, committees, and seminars.
- Financial and Budgetary Assistance: Monitor and follow up on the budget execution of the Constituency Office, including budget transfers and monthly reports.
- Translation Services: Assist with translation between French and English to facilitate communication.
- Reporting: Prepare and dispatch monthly, quarterly, and annual reports to Constituency Governors.
- Travel and Logistics: Manage travel arrangements for the Executive Director and other officials, including preparation for meetings, press conferences, and official events.
Key Competencies
- Educational Background: Bachelor’s degree in Business Management, Commerce, Administration, or a related field.
- Experience: Minimum of six years of relevant experience in an executive support role; private sector experience is an advantage.
- Skills: Excellent organizational, multitasking, and coordination skills with attention to detail and ability to work under pressure. Proficiency in MS Office (Word, Excel, Access, PowerPoint) and strong secretarial skills.
- Communication: Outstanding verbal and written communication skills in English or French, with a working knowledge of the other language.
- Professionalism: High level of confidentiality, discretion, and etiquette with competence in protocol usage. Ability to innovate and plan effectively in a multicultural setting.
