We are currently recruiting for the position of Executive Secretary to join our team in Jabi, Abuja (FCT). This is a full-time position that offers an opportunity to work closely with the Executive Leadership Team/CEO and contribute to the smooth execution of strategic initiatives.
Role Overview
The Executive Secretary will provide comprehensive administrative and organizational support to the Executive Leadership Team and CEO, ensuring efficient daily operations. The ideal candidate will be highly organized, professional, and skilled at managing schedules, handling confidential information, and assisting with executive decision-making.
Key Responsibilities
- Manage and maintain the Executive’s calendar, scheduling meetings, appointments, and events.
- Organize and prepare briefing materials for meetings and presentations.
- Handle correspondence (emails, letters, memos) with professionalism and discretion.
- Monitor and follow up on action items, ensuring deadlines are met.
- Prepare meeting minutes and ensure follow-up on tasks.
- Build and maintain relationships with stakeholders, clients, and partners.
- Organize confidential documents and adhere to company policies.
- Assist with special projects and administrative tasks as assigned.
- Coordinate travel arrangements, itineraries, and business trip agendas.
- Serve as the primary contact for internal and external communications.
Qualifications & Experience
- Proven experience as an Executive Secretary, Personal Assistant, or similar administrative role.
- Exceptional organizational and time management skills with attention to detail.
- Ability to manage multiple priorities and work under pressure in a fast-paced environment.
- Discretion and sound judgment in handling confidential information.
- Strong communication and interpersonal skills.
- Proficiency in [insert relevant tools/software such as Microsoft Office, Google Workspace, etc.].
