Child Safeguarding
Level 3. The responsibilities of this post may involve regular contact with children and young people. The post holder will help establish child safeguarding systems, promote a culture of safety, and ensure ongoing identification and addressing of potential harm to children.
Role Purpose
The Fleet Coordinator will ensure all transport needs are met, vehicles are well-maintained, drivers are trained, and travel routes are assessed and updated in coordination with the security department. In major humanitarian emergencies, the role may require working outside normal hours and adapting the role as needed.
Key Areas of Accountability
- Implement comprehensive vehicle tracking and maintenance systems.
- Ensure adherence to local and national traffic laws.
- Collaborate on monthly fleet data reporting.
- Handle accidents and insurance claims with the Finance Team.
- Manage fuel supplies and vehicle running costs.
- Provide input into vehicle acquisition decisions.
- Visit field locations to oversee fleet management and adherence to standards.
- Manage IVMS for vehicle tracking and monitor usage.
- Ensure all fleet assets are serviced and repaired to high standards.
- Support driver training in line with SCI guidelines and security regulations.
- Work with the security team to identify safer travel routes.
- Serve as a pro-fleet champion for the country program.
- Maintain vehicle particulars, insurance, and driver files.
- Manage the Total Card Fuel platform.
- Conduct periodic fleet analysis.
- Provide technical support to fleet focal persons and drivers.
Safeguarding Responsibilities
- Ensure drivers are aware of their safeguarding responsibilities.
- Follow safe programming guidelines to minimize risks in supply chain operations.
Emergency Preparedness and Response
- Participate in emergency preparedness and planning.
- Contribute to timely emergency response when needed.
Qualifications & Experience
- Bachelor's Degree or HND in Social Sciences, Engineering, or a relevant field.
- 6 years of experience in fleet management with INGOs or private sector.
- Valid driving license.
- Experience with Fleet Management ERP systems.
- Intermediate computer literacy (MS Word, MS Excel, MS Outlook).
- Excellent communication in English and major local languages.
- Knowledge in vehicle mechanics, servicing, and repair.
- Experience in a relatively insecure field-based environment.
- Desirable experience in other logistics functions.
