Job Vacancy: Front Desk Officer

Rotawn Energy & Logistics Services Limited is recruiting for the position of Front Desk Officer. As a key member of our administrative team, you will play a critical role in ensuring smooth day-to-day operations, offering excellent service to visitors, clients, and staff.
Key Responsibilities of the Front Desk Officer
Visitor Management
- Greet and direct visitors in a professional and courteous manner.
- Answer phone inquiries, attend to customer complaints, and provide assistance as needed.
- Ensure visitors are welcomed and assist them as required.
Administrative and Scheduling Support
- Schedule meetings and book appointments for company directors.
- Organize office supplies and manage stationeries and office equipment.
- Maintain up-to-date records of all company properties, including inventory management.
Vendor and Payment Coordination
- Collaborate with the accounts department to reconcile vendor payments.
- Manage relationships with third-party contractors and vendors, such as maintenance vendors, newspaper suppliers, and service providers, to ensure quality service delivery.
Communication and Documentation
- Coordinate the dispatch of both electronic and physical mails, letters, memos, and reports.
- Oversee the tasks and duties of domestic staff, ensuring quality execution of their responsibilities.
Operational Equipment Management
- Operate and manage office equipment, including photocopiers, fax machines, and printers.
- Maintain facility records, ensuring all operational activities are logged accurately.
Generator Operations and Management
As part of the Front Desk Officer’s duties, you will also have oversight of the diesel generator operations for the office:
Generator Oversight
- Manage the operation of diesel generators, ensuring they are powered on and off as required.
- Monitor generator performance to ensure it meets facility requirements.
Routine Maintenance Coordination
- Schedule and oversee routine maintenance tasks, such as oil changes and general inspections.
- Work with maintenance staff or external service providers to ensure generators are in optimal working condition.
Fuel Management and Vendor Liaison
- Monitor fuel levels and manage fuel storage, working closely with diesel suppliers to ensure continuous fuel supply for generator operation.
Safety and Compliance
- Ensure all generator operations comply with safety regulations and environmental standards.
- Prioritize the safety of personnel and maintain the integrity of equipment through preventive measures.
Emergency Response and Troubleshooting
- Take immediate action in the event of generator malfunctions or power failures, coordinating with technicians to resolve issues swiftly.
Record Maintenance
- Keep accurate records of generator activities, fuel consumption, and all maintenance and repair work performed.
Required Qualifications and Skills
