Key Responsibilities

  1. Immigration Facilities Management

    • Manage the entire visa process for new expatriates arriving in Nigeria.
    • Oversee the renewal of existing visas, residence permits, and business/tourist visas.
    • Facilitate the procurement of green cards and Nigerian passports for expatriates, Nigerian staff, and their dependents.
  2. Expatriate Database Management

    • Maintain and update expatriate and family data using the Immigration tool.
    • Ensure the database is accurate and information is easily accessible.
    • Generate reports on expatriate-related immigration activities and services.
  3. Immigration Support & Problem Resolution

    • Provide support in resolving immigration-related incidents at key locations like Murtala Muhammed International Airport (MMI) and LADOL Free Zone.
    • Proactively handle difficult situations to ensure smooth operational flow and compliance with Nigerian immigration laws.
  4. Public Relations & Stakeholder Management

    • Build and maintain effective relationships with expatriates, dependents, local staff, and managers.
    • Ensure consistent and transparent communication with Nigerian immigration authorities, particularly those in Port Harcourt, to maintain effective working relationships and ensure efficient services.
  5. Reporting and Documentation

    • Prepare detailed weekly, monthly, and annual reports on immigration activities.
    • Ensure all documentation related to expatriates, visas, and immigration processes is properly managed and compliant with legal standards.
  6. Visa Services & Embassy Liaison

    • Regularly liaise with embassies to stay informed about visa requirements and policy changes.
    • Update visa requirements in HR Direct and assist Nigerian staff and dependents in obtaining valid Nigerian passports.
    • Manage the visa administration process, including collating, reviewing, submitting, and picking up documents from embassies and visa processing centers.
    • Oversee the processing of travel health insurance policies for expatriates.
  7. Cost Efficiency & Compliance

    • Monitor and ensure that all immigration-related processes align with the company’s cost-efficiency strategies.
    • Collaborate with the finance team to ensure smooth reimbursements and compliance with financial policies.
  8. Additional Responsibilities

    • Assist in the Biometric Data Capture process for expatriates at the NCDMB office in Yenagoa.
    • Stay updated on changes in Nigerian immigration laws and policies.
    • Perform other duties as assigned by the management team.

Key Accountabilities

  • Full responsibility for immigration and visa services for all expatriates and national staff members.
  • Ensure compliance with Nigerian immigration regulations, including securing CERPAC or green cards and extended stay business visas.
  • Maintain strong, cooperative relationships with Nigerian government parastatals to facilitate efficient immigration processes.
  • Ensure expatriate compliance with Nigerian immigration rules and policies, minimizing any legal or operational risks.

Required Qualifications and Experience

  • A degree in a relevant field (Social Sciences preferred).
  • Minimum of 5 years of relevant experience in immigration, visa services, or expatriate management.
  • Solid understanding of human resources policies and procedures.
  • High level of integrity, analytical skills, and attention to detail.
  • Proficiency in Microsoft Office tools and familiarity with data management and process tools (e.g., HR Direct, SAP, STAR).
  • Knowledge of French is an added advantage.
  • Excellent interpersonal skills and the ability to build effective relationships.
  • Ability to work under pressure and with minimal supervision in a team environment.
