Job Summary
The Office Administrator is essential for ensuring the smooth and efficient operation of our office. This role involves managing administrative tasks, coordinating office activities, and providing comprehensive support to staff and management.
Key Responsibilities
Administrative Support
- Serve as the primary contact for internal and external communications (emails, phone calls, correspondence).
- Manage and maintain office filing systems, both digital and physical, ensuring confidentiality and easy retrieval.
- Schedule appointments, meetings, and conference calls; prepare agendas and take minutes as necessary.
- Assist in preparing reports, presentations, and documents as needed by the management team.
Office Management
- Oversee office supplies and inventory, ensuring timely replenishment.
- Organize and supervise office layout, cleanliness, and compliance with health and safety regulations.
- Coordinate maintenance of office equipment (printers, computers, etc.) and liaise with vendors for repairs or technical support.
Event and Travel Coordination
- Arrange travel and accommodations for staff and management, including flight bookings, hotel reservations, and transportation.
- Assist in planning and organizing company events, meetings, and conferences.
Reception Duties
- Greet visitors and manage front-desk operations, ensuring a welcoming and professional office environment.
Qualifications and Skills
- Education: BSC, HND, or OND in any field.
- Experience: 1-3 years of experience in office administration or a related role.
- Communication Skills: Excellent written and verbal communication skills with a professional and approachable demeanor.
- Problem-Solving: Ability to manage multiple tasks and resolve issues efficiently.
- Interpersonal Skills: Strong customer service skills and the ability to collaborate with individuals at all organizational levels.
- Technical Skills: Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with office management software is a plus.
- Organizational Skills: Strong attention to detail, excellent time management, and effective task prioritization.
