About the Role

As an Office Manager, you will play a critical role in managing administrative functions such as office setup, property management, budgeting, HR coordination, IT support, and security. You will ensure smooth office operations while supporting the Head of Office and visiting teams. This position requires excellent organizational skills, the ability to handle confidential matters, and the capability to liaise effectively with local authorities and external service providers.

Key Responsibilities

Office Management & Administration

  • Coordinate the setup of the new Resident Office in Nigeria in collaboration with local authorities and EBRD teams.

  • Oversee IT and workstation setups for staff and visitors.

  • Serve as the local security focal point and ensure the development of business continuity plans.

  • Manage day-to-day office operations, including inventory control, supplies, and office maintenance.

  • Liaise with the landlord to manage lease agreements and facilities maintenance.

Finance & Budgeting

  • Prepare and monitor office budgets, ensuring effective financial management.

  • Process payments, manage petty cash, and reconcile corporate credit card transactions.

  • Handle local supplier invoices while ensuring compliance with financial controls.

HR & Administrative Support

  • Assist with staff onboarding, accreditation, and visa processes.

  • Supervise administrative staff and coordinate training and workload management.

  • Provide administrative support to the Head of Office and banking teams.

  • Maintain accurate HR records, including updates for sick leave and medical insurance.

Requirements

What We’re Looking For

  • Education: Bachelor’s Degree (preferred) in Administration, Finance, or Office Management.

  • Technical Skills: Proficiency in office management systems, financial processes, and IT coordination.

  • Languages: Fluent in English; knowledge of local languages is an advantage.

  • Personal Traits: High level of integrity, professionalism, and discretion.

  • Experience: Proven experience in a senior administrative or accounting role, preferably with an international organization.

  • Skills: Strong organizational, communication, and interpersonal skills.
