Position: Personal Assistant
Location: Lekki, Lagos
Employment Type: Full-time

Responsibilities

  1. Diary Management: Proficiency in Outlook is a must, ensuring seamless scheduling and organization of appointments.
  2. Meeting and Appointment Booking: Facilitating the smooth coordination of meetings and appointments.
  3. Business Travel Arrangements: Handling all aspects of travel logistics, including flights, accommodations, and transportation.
  4. Visa Coordination: Managing visa applications and providing necessary documentation for overseas visitors.
  5. Travel Log Maintenance: Keeping a meticulous record of the MD's travel activities.
  6. Expense Reconciliation: Responsible for reconciling monthly expenses.
  7. Procurement and Purchasing: Sourcing and purchasing various items as required by the MD.
  8. Financial Duties: Managing personal bills and financial obligations on behalf of the MD.
  9. Healthcare Coordination: Organizing medical and dental appointments.
  10. Vehicle Management: Overseeing insurance, maintenance, and repairs for the MD's personal and family vehicles.
  11. Personal Affairs Assistance: Assisting the MD with personal tasks, hobbies, and events.
  12. Call Management: Handling calls for the MD and taking messages as necessary.
  13. Event Coordination: Arranging food and refreshments for business lunches, as well as organizing corporate and staff events.
  14. Administrative Support: Inputting and updating contact details, managing office cleanliness, and conducting research for specific projects.
  15. Meeting Support: Taking minutes at management meetings and typing up reports.
  16. Additional Duties: Undertaking ad hoc tasks and assignments as required.

Requirements

  • Proven experience in a similar role.
  • Excellent organizational and multitasking abilities.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office suite, particularly Outlook.
  • Ability to maintain confidentiality and handle sensitive information.
  • Flexibility and adaptability in a dynamic work environment.
  • Willingness to commute as required.
