Job Title: Personal Assistant to the Chairman
Location: Ikoyi, Lagos
Employment Type: Full-time
Key Responsibilities
- Diary Management: Oversee and organize the Chairman’s daily schedule, appointments, and meetings to ensure optimal time management.
- Legal Support: Draft legal notes, reports, and maintain an organized law library. Assist with legal correspondence and ensure all necessary documents are up to date.
- Project Collaboration: Coordinate with various departments, sister companies, and external subcontractors on behalf of the Chairman, ensuring smooth execution of projects and events.
- Travel Arrangements: Manage the Chairman's travel logistics, including flight bookings, visa processing, and passport renewals in collaboration with the Protocol and Logistics department. Be available to travel with the Chairman if required, even on short notice.
- Document Management: Ensure all documentation is accurately filed and maintained. Handle sensitive information with utmost confidentiality.
- Correspondence: Draft and manage the Chairman’s correspondence, including emails, letters, and other communication. Follow up on critical matters and ensure timely responses.
- Meeting Coordination: Schedule, organize, and manage meetings. Represent the Chairman at meetings and events when necessary.
- Personal Errands: Run personal errands and assist the Chairman with various non-work-related tasks, ensuring they are completed efficiently.
- Medical Appointments: Keep detailed records of the Chairman’s medical appointments abroad, ensuring all arrangements are seamless and well-documented.
- Event Attendance: Attend key functions and events with the Chairman when required, and provide support as needed.
Skills & Qualifications
- Legal Background: Candidates must have a solid foundation in legal principles, with experience as a Personal or Executive Assistant.
- Administrative Excellence: Strong organizational and administrative skills are essential, with the ability to manage multiple tasks simultaneously.
- Attention to Detail: Precision and a keen eye for detail are required for managing the Chairman’s schedule, legal documents, and communications.
- Work Under Pressure: Ability to handle high-pressure situations, manage multiple deadlines, and perform tasks efficiently.
- Communication Skills: Excellent written and verbal communication skills are essential for liaising with senior executives, writing reports, and managing correspondence.
- Time Management: Superior time management and organizational abilities to handle the Chairman’s day-to-day activities efficiently.
- Confidentiality: Maintain high levels of confidentiality and discretion, especially when handling sensitive legal and personal matters.
- Tech-Savvy: Proficiency in Microsoft Office 365 (Outlook, Word, Excel, PowerPoint) and other relevant tools.
- Experience: Minimum of 5 years in a similar role, preferably supporting C-level executives in a corporate or legal environment.
Salary
- N400,000 - N800,000 per month, negotiable based on experience and qualifications. The compensation package is attractive and competitive.
