Purpose of the Job
As a Receptionist at AU-SAFGRAD, you will be the first point of contact for visitors, guests, and callers, ensuring a hospitable and efficient experience. Your role will include managing communication and administrative tasks to support the smooth operation of the office.
Main Responsibilities
- Greet and assist guests upon arrival.
- Direct visitors to the appropriate person or office.
- Manage incoming telephone calls and communications.
- Maintain a tidy and presentable reception area.
- Operate and maintain telecommunication systems.
- Keep records of mail and courier deliveries.
- Provide messenger and liaison services.
- Support meetings and handle data entry tasks.
- Offer accurate information and maintain updated employee directories.
- Assist with logistical arrangements for meetings and workshops.
Specific Responsibilities
- Offer a professional and friendly welcome to visitors.
- Address inquiries about directions, schedules, and general office information.
- Ensure security protocols are followed and visitors sign in.
- Coordinate logistical arrangements for meetings and manage appointment scheduling.
Academic Requirements and Relevant Experience
- Diploma (Bac +2) or Bachelor’s (Bac +3) Degree in Secretarial Studies or Office Management.
- Three years of experience for a Diploma holder or two years for a Bachelor’s holder.
- Experience with international organizations is advantageous.
Required Skills
- Excellent interpersonal and communication skills.
- Strong organizational and planning abilities.
- Proficiency in Microsoft Office Suite.
- Fluency in French (knowledge of additional AU languages is a plus).
- Discretion in handling confidential information.

Tenure of Appointment
Regular term contract for three years, with the first twelve months as a probationary period. The contract may be renewed based on performance.

Remuneration
Indicative basic salary of USD 12,834 per annum, plus post adjustment, housing allowance, and education allowance for eligible dependents.
