Job Responsibilities
1. Schedule and Calendar Management
The Secretary will be responsible for managing the calendar and schedule of the assigned GM+ or principal. Key duties include:
- Coordinating divisional meetings, whether strategic, weekly, or quarterly, and ensuring that meeting minutes are circulated.
- Collaborating with other HR Secretaries across different divisions to ensure smooth operations.
- Monitoring the annual leave and scheduled absences of divisional personnel.
2. Record Keeping and Documentation
This position requires a high level of organization and attention to detail. The Secretary will:
- Ensure quality control in the handling and storage of documents.
- Follow up with relevant departments for document approvals and request validations.
- Maintain an up-to-date Chrono register to track all records.
3. Logistics and Travel Support
The Secretary will provide logistical support by:
- Coordinating travel arrangements for GM+ and their team.
- Raising and following up on mission order requests for the team.
- Organizing other logistics as required for the team’s operations.
4. Memo and Report Preparation
The role also involves preparing essential documentation:
- Drafting and ensuring timely publication of memos through the Communications team.
- Handling all divisional correspondence, including the distribution of letters and gifts.
- Preparing and communicating Delegation of Authority (DoA) announcements.
- Writing letters and reports related to the division’s activities for external stakeholders.
5. Administrative Support
The Secretary will provide vital administrative assistance, including:
- Managing divisional stationery and office consumables.
- Assisting in the preparation and submission of SPRs (Standard Purchase Requests) for the team.
- Performing any other duties as assigned by senior management.
Key Accountabilities
- Responsible for managing the agenda and evolving priorities of GM+.
- Handling all incoming and outgoing correspondence for the division.
- Providing comprehensive administrative, logistical, and secretarial support for the team.
Qualifications and Experience
To qualify for this position, candidates should meet the following criteria:
- Education: HND or BSc in Secretarial Studies, Administration, or Management Science.
- Experience:
- 1-2 years of experience for a general secretary role.
- 3-5 years of experience for those applying to work directly with GM+.
- Skills: Proficiency in Microsoft Office tools is essential.
