Job Title: Support and Documentation Officer

Job Overview
As a Support and Documentation Officer at Benmaris Limited, you will play a key role in ensuring smooth and efficient operations in the areas of freight forwarding, local clearing, and import documentation. This position involves extensive liaising with both local and international partners, processing of invoices, managing important documentation, and supporting various departmental functions to enhance operational efficiency.
Key Responsibilities

NAFDAC Permits & Approvals
Liaise with public institutions to secure NAFDAC permits and approvals for imports. Advise users on the availability of relevant import permits and process permit requests. -
Invoice and Freight Management
Follow up on freight forwarding and local clearing agents’ invoices. Pre-vet these invoices before submitting them to the Finance and Accounts department for processing using web cycle invoice processing tools. -
Service Quality & Meetings
Participate in service quality meetings with foreign freight forwarding agents and local clearing agents. Address issues related to Transit operations in meetings with local clearing agents. -
Reporting & Documentation
Prepare and submit various monthly and quarterly reports, including the CP3 report, cost savings report, ABS report, and freight cost reports. Additionally, you will ensure adequate record-keeping of invoices, container deposit refunds, and NAFDAC-related documentation. -
Purchase Orders & CFT Preparation
Create purchase orders on E-transit and take part in the preparation of Call-for-Tender (CFT) for freight forwarding and local clearing agents. Participate in post-CFT negotiations as required. -
Container Deposit & Refund Management
Recover container deposit refunds from local clearing agents and transmit the cheques to the Finance & Accounts department for processing. -
Freight Cost Estimates
Prepare sea/air freight cost estimates to advise management in granting approval for changes in transport modes. Also, provide estimates when requested by buyers to assist in the purchasing decision-making process. -
Weekly & Monthly Reporting
Prepare departmental weekly reports and a monthly dashboard to align with company goals and policies. -
Additional Responsibilities
Assist with other service functions or activities assigned by the department manager.
Job Requirements
To be considered for this role, candidates must meet the following criteria:
- A minimum of 5 years of experience in shipping activities.
- Proficiency in SAP, MS Excel, and MS Word.
- A graduate degree in Management, Social Sciences, or a related field.
